Cognitive Works prefers fax as the primary communication method for medical records requests to ensure HIPAA-compliant, secure handling of protected health information.

Telehealth Instructions

All Cognitive Works appointments are conducted via Google Meet, a HIPAA-compliant video platform. Here's what to expect:

  • For intake and initial appointments, you will receive a Google Calendar invite with the meeting link in advance.
  • For follow-up appointments, we send the Google Meet link on the day of your appointment — and again at the start of your session on busy days.
  • Please ensure you have a stable internet connection, a quiet and private space, and a device with a camera and microphone.
  • No software download is required — Google Meet runs directly in your web browser.

Cognitive Works provides telehealth services to patients in Minnesota, Florida, and New Jersey. You must be physically located in one of these states at the time of your appointment.

Cancellation & No-Show Policy

Cancellations made less than 24 hours before your appointment may result in a charge. Cognitive Works sends appointment reminders and makes confirmation phone calls at least 24 hours in advance.

What to Expect

Whether you are a new or returning patient, here is what your care experience looks like at Cognitive Works.

Before Your Appointment

Prepare a list of your current medications (including dosages), any recent lab work, and a summary of symptoms or concerns you would like to discuss. If this is a follow-up, note any changes since your last visit — including side effects, mood changes, or new stressors.

During Your Visit

Your psychiatrist will review your history, discuss current symptoms, and collaborate with you on a treatment plan. Follow-up visits typically last 20–30 minutes and focus on medication response, symptom tracking, and treatment adjustments. All visits are conducted via secure telehealth video (Google Meet).

After Your Visit

Prescriptions are sent electronically to your preferred pharmacy. You will receive scheduling information for your next follow-up. If you have questions between visits, use the Secure Message form or call our office at 952-300-6277.

Ongoing Care

Your first follow-up is expected approximately 4 weeks after the initial evaluation. Each medication adjustment generally requires a check-in within 4 weeks. Stable patients on controlled substances or high-risk medications requiring ongoing monitoring are typically seen every 3 months. Stable patients on low-risk medications that do not require adjustments are typically seen every 4–6 months. Crisis situations may require weekly visits until stabilization; visits more frequent than weekly are not considered appropriate for outpatient care and generally indicate a need for intensive outpatient or inpatient level of care. Cognitive Works emphasizes continuity — you will see the same psychiatrist at every visit.

Tip: Keep a brief daily mood or symptom log between visits. Even a few notes help your psychiatrist track patterns and adjust treatment more effectively.

Common Questions

Your initial appointment is a comprehensive psychiatric evaluation lasting approximately 60 minutes. Your psychiatrist will review your medical and psychiatric history, current symptoms, medications, and treatment goals. Please have a list of your current medications and any relevant medical records available.

Find a quiet, private space with good internet. Use a device with a camera and microphone — a laptop or tablet works best. We use Google Meet, which runs directly in your browser with no download required. Your meeting link will be sent via calendar invite or on the day of your appointment. Log in a few minutes early to test your audio and video.

We accept most major insurance plans including Aetna, Blue Cross Blue Shield, Cigna/Evernorth, HealthPartners, Medica, Medicare, Optum, and United Healthcare. Coverage and benefits vary by plan, so we recommend verifying your specific benefits before your appointment. We also offer self-pay options.
