Twenty-four hours’ notice, three fees, and the reasoning behind them. The same policy every patient signs at onboarding.
Cognitive Works reserves dedicated appointment time for each patient. When an appointment is missed or cancelled without proper notice, that time usually cannot be given to someone else, and another patient waits longer for care. The policy is not punitive; it protects the time, availability and clinical resources of patients and providers alike.
Please give at least 24 hours’ notice to cancel or reschedule. Appointments not cancelled at least 24 hours in advance, and appointments that are missed, carry the following fees:
These fees are not billable to insurance and are the patient’s responsibility. By keeping a card on file, the patient authorizes Cognitive Works to charge the applicable fee to it under this policy. Under normal circumstances the fee is applied; exceptions may be considered for illness or other urgent, unforeseen events, at the sole discretion of Cognitive Works and case by case. Where a patient’s health plan rules do not permit missed-visit fees, no fee is charged; the notice requirement and the scheduling consequences below still apply.
Cognitive Works makes reasonable, good-faith efforts to remind patients of scheduled appointments. Every patient receives a reminder by email and text message the day before. Patients who have not confirmed by replying to the text or the email receive a confirmation call within 24 hours of the appointment time. Not receiving, reading or responding to a reminder does not waive the responsibility to attend or to give timely notice.
Repeated late cancellations or missed appointments may result in changes to scheduling privileges, interruption of services, or termination of treatment, consistent with applicable law and professional standards.
Through the Current Patients page (scheduling request) or by calling 952-300-6277, at least 24 hours before the appointment.
No. Missed-visit fees are never billable to insurance; they are charged to the card on file. If your plan’s rules do not allow missed-visit fees, none is charged, but the 24-hour notice requirement still applies.
Exceptions for illness or urgent, unforeseen events are considered case by case. Let us know as soon as you can.
By email and text message the day before. If you have not confirmed by replying to either, we call you within 24 hours of the appointment to confirm.
No. Reminders are sent as a courtesy; attending or giving notice remains the patient’s responsibility.
